All vendors must have their tables fully set up the night before the event. No day‑of setup is permitted without written approval from the Event Coordinator. Vendors must remain open and available to the public for the full duration of the event.
Vendor spaces are assigned and may not be changed, shared, expanded, or occupied beyond the approved area or approved activity. Vendors found operating outside their designated space or engaging in unapproved activities will be removed from the event without refund.
Vendors are solely responsible for their own materials, equipment, products, and personal property. No electricity will be provided. Vendors are responsible for the complete takedown and cleanup of their booth area. A $50 cleaning fee will be charged to any vendor who fails to keep their area clean or leaves debris behind.
All vendors must comply with all applicable federal, state, and local laws, including but not limited to: business licensing, tax obligations, health and safety regulations, and any required permits or certifications. Food vendors must maintain all required food‑handling permits and certifications.
By participating, vendors agree that Hedera Initiative Inc., its subsidiaries, officers, employees, volunteers, partners, affiliates, and associates are not responsible for loss, theft, damage, injury, or any claims arising from vendor operations, products, equipment, or conduct.
Failure to comply with these instructions or any event policies may result in immediate removal from the event without refund.
All vendors are solely responsible for complying with all federal, state, and local laws, regulations, licensing, and tax obligations required to operate their business. Vendors acknowledge that they are fully responsible for the safety, legality, and quality of all products, services, materials, and interactions they provide to the public.
By participating as a vendor, you agree to indemnify, defend, and hold Hedera Initiative Inc., its subsidiaries, officers, employees, volunteers, partners, affiliates, and associates harmless and blameless from any and all claims, damages, losses, liabilities, actions, or expenses arising from or related to your participation, products, services, equipment, conduct, or failure to comply with legal requirements—regardless of whether you carry insurance.
If you do not maintain a Business Owner’s Policy or General Liability Insurance, you acknowledge that you remain fully and personally responsible for any claims or damages that may arise. Hedera Initiative Inc. assumes no responsibility for uninsured vendors.
